ESTC 2025 PRACTICE MEMBERSHIP

INFORMATION

Please complete this application form.

We have one membership type on offer: 'Practice' which runs from January to December each year. Memberships are available in a youth, adult or family options. As part of your membership you are required to supply a marshal / observer for at least one trial per year. The membership allows you to ride all year round with your own key to the gate, cast a vote in the election of committee members and receive newsletters.

Memberships will be processed on Tuesdays (before 8pm) and Fridays (before 8pm). These will be posted via 2nd class delivery on Wednesdays and Saturdays (these can sometimes take up to 7-10 working days to arrive). Please don’t join on a Friday expecting to ride on Saturday.

MEMBERSHIP FROM 1 JANUARY 2025 – 31 DECEMBER 2025

All memberships are renewable in January each year. Membership will commence no earlier than 1st January and only once you have received your membership pack, including number board, which is to be displayed on your bike at all times when practising. All memberships include one gate key for the year.

I am/we are also aware that in the event of any injury or death occurring whilst on the trialling grounds, neither the landowners nor Earl Shilton Trials Club Ltd hold any responsibility or liability whatsoever for injuries or damage sustained or caused. If you are new to the club, you will need to attend an induction session where we will introduce you to the club, and show you around. This is to ensure that you understand the rules of the club, keep you safe while practicing and to give you the chance to ask any questions you might have. We will be holding the induction sessions for new members once a month on a Saturday (see specified time and dates below). The session will last about an hour. As soon as you have completed your induction you’ll become a club member and receive your membership pack, including your key to the gate and membership practice board which is to be fitted to your bike. You’ll find Earl Shilton Trials Club (The Yennards) using the postcode: LE9 7TR. This will take you to the Yennards Farm. THE RULES OF EARL SHILTON TRIALS CLUB

PLEASE READ THE FOLLOWING ESTC CLUB RULES AND GDPR STATEMENT AND THEN TICK BELOW THAT YOU AGREE.

THE RULES OF ESTC

GENERAL

• The club shall be called Earl Shilton Trials Club Ltd and shall have for its object the encouragement and protection of motorcycle trials.
• The club shall be affiliated to the Auto-Cycle Union Ltd.
• The club shall be a company limited by guarantee which is run for the benefit of its members by its directors and an elected committee. The committee shall be elected for the year at the clubs annual general meeting. Directors will also be committee members. The committee will appoint directors of the company. There will be a minimum of two and a maximum of 6 directors. The directors are legally responsible for running ESTC Ltd in accordance with UK company law. In instances where there is a clear legal obligation to be met then the director’s decision will be final. All other resolutions will be decided by the clubs committee.
• Any expenditure of club funds requires committee approval in advance. In instances where there is a need to undertake urgent site repairs, procure consumables (keys, locks, stationary etc) or general expenditure associated with holding events (permits, insurances etc) then such spend may be approved in advance by a minimum of two club directors and should be reported in the clubs accounts.

MEMBERSHIP

Every member binds themselves to:

Abide by the rules and regulations of the club and hold themselves in honor. Accept the decision of the committee as final in all cases of dispute or disagreement as to the interpretation of the rules and regulations of the club.

• Every member shall be furnished with a copy of the rules and regulations, together with a list of committee members on election.
• The committee shall agree the annual subscription. Only members who have paid the subscription in full will be eligible to participate in club activities.
• Every member that 'participates' in Earl Shilton Trials Club Ltd events agrees to provide an observer for one trial in each calendar year.
• At the discretion of the committee, extended memberships may be made available from time to time. Extended membership will entitle the purchaser to full club membership and practising for 5 or 10 years on the same terms as members taking 1-year membership in each year. Members with extended memberships will have the same rights as members taking out a 1-year membership. Annual and extended membership has no value to the club and no refunds will be given for any unused portion.
• All monies raised from membership are used to improve/extend the facilities owned by Earl Shilton Trials Club Ltd.
• If at any time in the future the club is dissolved all remaining assets shall be given or transferred to another registered CASC, a registered charity or the sport’s governing body for use by them in related community sports.

MEETINGS

At general meetings, whether ordinary or extraordinary, a two thirds majority of votes decides a resolution regarding:

• The purchase or disposal of club assets exceeding £2,000 in value.
• Any change in the club constitution.

All other resolutions will be decided by a simple majority; the chairman having a casting vote in case of even voting.

ANNUAL GENERAL MEETING

The AGM will be held each year before the end of February. Notice of the meeting will be sent to all paid up members from the previous year.

Any resolutions to be presented to the members at a general meeting must be notified in writing to the secretary at least 14 days in advance of the meeting.

USE OF LAND

MEMBERS TAKING PART IN PRACTICE OR ORGANISED TRIALS COMPETITIONS AT THE YENNARDS, POTTERS MARSTON LANE, EARL SHILTON, SHALL:

1 • Abide by Earl Shilton Trials Club Ltd and ACU Ltd rules and regulations and obey instructions of designated club officials.
2 • Park vehicles in such a manner as not to block the access road and field gateways.
3 • Ride motorcycles carefully and slowly to and from designated parking areas. All vehicles: Do not exceed 5mph within the M69 underpass or 10mph on farm tracks leading to the main gate or from the main gate to the carparks.
4 • Members shall wear suitable protective motorcycle clothing, including motorcycle helmet, motorcycle boots and gloves. Unless a helmet is manufactured with a camera as an intrinsic part, helmet cameras (including helmet camera brackets) and cameras attached to the body are prohibited. Cameras attached to a machine are permitted.
5 • Police the area whilst using the ground. All unauthorised persons on the property shall be asked to leave or reported to the committee or the police.
6 • Be responsible for the removal of all their own litter and other waste.
7 • Secure the site as far as reasonably practical. Main gate and toilet compound to be kept locked at all times (except on the morning of a trial competition). If gate locks are missing then please report this as soon as possible. All farm gates and strings to be left as you find them. Report any damage to club property, including fencing (estcground@gmail.com).
8 • The use of power / pressure washer is prohibited at all times.
9 • Display practice number boards at all times when practising.
10 • All members should be accompanied by at least one other person when practising at the ground, in case of an accident. Report any incidents requiring medical attention to the club (estcmembers@gmail.com).
11 • Only fully paid-up members of ESTC are permitted to practise at the Yennards. Members should not encourage or allow non club members to practise. Only Trials Specific motorcycles (petrol or electric) with trials specific tyres can be ridden at the Yennards. No practicing after 12:30 on the day before a club trial competition.

Comply with the above and accept that failure to do so may result in membership being canceled.

PRIVACY POLICY

VERSION 3 - EFFECTIVE DATE - 13/11/2022

This policy sets out how Earl Shilton Trials Club Ltd uses and protects any information that you give to us. We are committed to ensuring that your privacy is protected, and any information provided will only be used in conjunction with this privacy statement. This policy may be updated as and when needed, please check the website www.estc.co.uk regularly to ensure you are happy with any changes. This policy came into effect on 25th May 2018.

INFORMATION THAT WE COLLECT:

Upon making an enquiry about the club we will use the email address, telephone number or postal address that you provide to reply to you. If you contact us via our Facebook page we will initially reply to you via this platform.

Upon taking out a membership with Earl Shilton Trials Club Ltd you provide the name, address, email address (and date of birth for riders under the age of eighteen), for each person to be included in the yearly membership. We will keep this information together with any other information that you may give us, in both paper and electronic form for as long as necessary to comply with Company Law, HMRC, Data Protection and ACU Ltd rulings. When applying to practice at the ground your information will be stored to enable us to complete a track and trace process if and when necessary inline with government guidelines. Your membership forms are stored at the club’s registered office with an electronic copy of this data also held on a password secure cloud-based server.

Email addresses are used to communicate with members who have supplied them to send, newsletters, renewal forms, observer requests, training invitations, and any other communications which may be needed from time to time, all other members will receive these communications by post, all keys will be posted to the address given on your membership form. Newsletters and other announcements concerning club activities (trial dates, AGM dates etc.) will also be posted on the club website www.estc.co.uk and/or the club Facebook site some activities will also be posted on www.trialscentral.com, www.motorcyclesport.org.uk, www.acu.org.uk and and occasionally in other publications.

We may pass your details to the Auto Cycle Union Ltd to allow them to issue you with a competition licence and keep you up to date with motorcycle information. Your name and motorcycle type will be included in the results of any of the club’s trials that you take part in, these will be passed to the Auto Cycle Union Ltd, posted on the club’s website www.estc.co.uk, www.trialscentral.com, and occasionally in other publications. If the trial is an East Midland Centre championship round the results will also appear on www.motorcyclesport.org.uk. Photographs may be taken at our events and used to support our trials results in any of the publications mentioned or may appear on the website to promote trials riding.

When entering a training day your details will be shared with the club secretary, the ACU trainers and assistants and the ACU Ltd.

GDPR STATEMENT

For us to remain in line with law regarding data protection, please read the below statement:

I give permission for Earl Shilton Trials Club Ltd to contact me regarding club activities including: membership applications/renewals, newsletters, events, training, trials ground, ACU matters.

I give permission for Earl Shilton Trials Club Ltd to share my/our details with relevant parties such as but not limited to the Auto Cycle Union Ltd (ACU) where necessary to fulfil membership/trial requirements.

I give permission for Earl Shilton Trials Club Ltd to include my name and bike model and photographs/videos in the results of any competition that I may enter which will be published on the club website www.estc.co.uk and occasionally in other publications and on other trials related websites.

I understand that Earl Shilton Trials Club Ltd will retain my/our details as given by me on the membership application, trials entry form and training entry form including: name, address, telephone number, email address, date of birth of minors and make of bike for as long as necessary to meet ACU regulations and company law they will then be securely destroyed.

By completing my membership application I confirm that I have read and understand the above points and will inform Earl Shilton Trials Club Ltd of any changes to my preferences. I understand that I can view all records held by Earl Shilton Trials Club Ltd at the registered address by giving 5 working days notice. If I do not make any updates this will remain relevant until I cancel my membership. If you wish to make any changes to the preferences that you gave when signing your form please contact the club via the usual email address available on the website.
